PCI DSS CERTIFICATION PROCESS

During the initial survey phase, an assessment is conducted covering infrastructure, personnel, IT systems, as well as policies and documentation. This step identifies all systems, processes, and technologies involved in the storage, processing, and transmission of cardholder data.

The output of this phase is a Scoping Report.

Analyze the gap between the current system and PCI DSS requirements.

This phase is typically conducted by an independent consulting organization or a dedicated internal team.

The organization implements remediation actions based on recommendations, such as updating software, configuring firewalls, encrypting data, managing access controls, etc.

Depending on the Merchant Level, the organization will:

  • Engage a Qualified Security Assessor (QSA) to conduct an on-site assessment
  • Or complete a Self-Assessment Questionnaire (SAQ)

The assessment covers areas such as network systems, data storage, access controls, physical security, etc.

Once the assessment is successfully completed, the organization submits the required documentation:

  • ROC (Report on Compliance)
  • AOC (Attestation of Compliance)

If authorized, the certification body will issue a PCI DSS certificate, valid for one year.

PCI DSS requires periodic monitoring and annual reassessment to ensure systems continuously meet updated security standards.

    FREQUENTLY ASKED QUESTIONS

PCI DSS (Payment Card Industry Data Security Standard) is a stringent set of security requirements managed by the PCI Security Standards Council to protect cardholder data (including: Visa Inc, Mastercard, American Express, Discover Financial Services, JCB Co., Ltd)

Any organization that processes, stores, or transmits payment card data—including retailers, payment gateways, banks, and third-party service providers—must comply with PCI DSS, regardless of size.

It is not a legal requirement, but it is contractually mandatory for businesses that accept card payments. Non-compliance may result in fines, loss of card acceptance privileges, or serious reputational damage.

The current version is PCI DSS v4.0 (released in March 2022, replacing v3.2.1), with a transition period through March 2025. Organizations are required to update their systems to comply with the new requirements.

PCI DSS consists of 12 core requirements grouped into 6 security objectives, including:

    • Build and maintain a Secure Network
    • Protect cardholder data
    • Maintain a vulnerability management program
    • Implement strong access control measures
    • Regularly monitor and test networks
    • Maintain an information security policy

Depending on the annual transaction volume, organizations are classified into four levels (Level 1 to Level 4), each with different compliance requirements. For example:

    • Level 1: More than 6 million transactions per year (requires assessment by a Qualified Security Assessor – QSA)
    • Level 4: Fewer than 20,000 transactions per year (can complete a Self-Assessment Questionnaire – SAQ)

    The key steps include:

    • Define the scope of systems handling cardholder data
    • Conduct a gap assessment or complete a Self-Assessment Questionnaire (SAQ)
    • Implement remediation actions (if required)
    • Undergo a full assessment by a Qualified Security Assessor (QSA) (if applicable)
    • Submit compliance reports (RoC and AoC)

Yes. Compliance must be maintained and reviewed annually, either through self-assessment or assessment by a Qualified Security Assessor (QSA), depending on the level.

    Organizations may:

    • Face financial penalties from banks or card schemes
    • Lose the ability to process card payments
    • Suffer reputational damage
    • Encounter legal risks in the event of a data breach

Yes. Sensitive data such as the PAN (Primary Account Number) and authentication data must be encrypted during transmission and storage. Encryption should follow industry standards such as AES, RSA, etc.
