ISO 9001 – QUALITY MANAGEMENT SYSTEM
ISO 9001 is an international standard for quality management systems (QMS), issued by the International Organization for Standardization (ISO). In Vietnam, this standard has been adapted and applied under the name TCVN ISO 9001. It was first introduced in 1990 and is now widely applied across many industries and fields.
Versions of ISO 9001
- ISO 9001:1987 – The first model focused on quality assurance in design, production, installation, and technical services.
- ISO 9001:1994 – Updated to emphasize defect prevention rather than just control.
- ISO 9001:2000 – Integrated quality management into all organizational processes, emphasizing continuous improvement and customer satisfaction.
- ISO 9001:2008 – Supplemented and clarified requirements from the 2000 version, focusing on system effectiveness.
- ISO 9001:2015 – The current version, emphasizing risk-based thinking, leadership, and easier integration with other management systems.
ISO 9001:2015 is currently the most widely used version worldwide, playing a key role in helping organizations improve operational efficiency, ensure consistent quality, and strengthen trust with customers and partners.
WHAT IS ISO 9001 CERTIFICATION?
ISO 9001 certification is the process of evaluating and confirming that a company’s quality management system (QMS) fully meets the requirements of the ISO 9001 international standard. This assessment is conducted by an authorized certification body that is internationally recognized. The goal is to ensure that the business operates with a structured, effective quality management system aligned with global standards.
Meaning of the ISO 9001 Certificate
The ISO 9001 certificate – also known as ISO 9001 certification – is proof that an organization has successfully passed a rigorous evaluation process, addressed any nonconformities (if any), and has been verified to meet ISO 9001 requirements. It is a document with both legal and commercial value, issued by independent certification bodies and recognized worldwide.
WHICH BUSINESS SHOULD OBTAIN ISO 9001:2015 CERTIFICATION?
Obtaining an ISO 9001:2015 certificate is considered one of the initial milestones of success for businesses. This certification is suitable for all types of organizations – from small and medium-sized enterprises to large corporations – across all industries.
In particular, this standard is highly suitable for businesses that aim to:
- Establish and maintain a professional and effective quality management system
- Meet requirements from customers, partners, and tender documents related to production or service capabilities
- Enhance brand image and gain a competitive advantage in the market
- Integrate ISO 9001 with other management systems (such as ISO 14001, ISO 45001, etc.) to optimize overall operational efficiency
ISO 9001 CERTIFICATION PROCESS AT SQC CERTIFICATION VIETNAM
To support organizations and businesses in building and effectively operating a quality management system in accordance with ISO 9001:2015, below is the standard process of SQC Certification Vietnam, including the following steps:
Step 1: Build a Quality Management System in accordance with ISO 9001:2015
Businesses should begin by establishing a complete QMS that fully meets all requirements of the ISO 9001:2015 standard. Key activities include:
- Assessing the current status and organizational readiness
- Demonstrating top management’s commitment to ISO implementation
- Defining objectives and the scope of the QMS
- Establishing an ISO team and assigning appropriate personnel
Organizing training programs on ISO awareness and system documentation skills
Step 2: Registration for Certification
Once the system is fully established, the business submits an application for certification to an authorized ISO 9001 certification body. The application includes all required documents according to prescribed forms in preparation for the official assessment stage.
Step 3: Contract Signing and Assessment Planning
The business and the certification body agree on assessment terms through a formal contract, including the audit plan, costs, and implementation conditions. This step prepares for the on-site audit.
Step 4: Certification Audit (2 Stages)
The certification body conducts the audit in two stages:
- Stage 1: Documentation review and readiness assessment
- Stage 2: On-site audit at the business
After the audit, the business receives a report detailing conformities and nonconformities, along with required corrective actions if necessary.
Step 5: Application Review
The certification body thoroughly reviews all documents, processes, and records to ensure the business has fully complied with ISO 9001:2015 requirements before issuing the certificate.
Step 6: Issuance of ISO 9001:2015 Certificate
After all nonconformities (if any) have been fully corrected, the business is granted an ISO 9001:2015 certificate valid for three (3) years. This serves as proof that the quality management system meets international standards.
Step 7: Periodic Surveillance Audits
During the certificate’s validity period (3 years), the business undergoes two periodic surveillance audits to verify the effectiveness and ongoing maintenance of the QMS in accordance with ISO 9001:2015.
Step 8: Recertification Audit
When the certificate is about to expire, the business must undergo a recertification audit to renew its validity. This process is similar to the initial certification and ensures continued compliance with the QMS in the next cycle.
RECOMMENDATIONS FROM SQC CERT FOR BUSINESSES
When seeking ISO 9001 certification, businesses not only need to implement an effective quality management system but also clearly understand the requirements and key considerations from the Certification Body (CB) to be well prepared for the certification audit process. Below are recommendations from SQC Certification Vietnam for businesses seeking ISO 9001:2015 certification:
Clearly define scope and applicability
The business needs to clearly determine the scope of the ISO 9001 system (whether it applies to the entire company or only a department, factory, or branch). This is essential for accurately defining the scope stated on the certificate.
The certification body will also assess whether the scope aligns with the actual operations and products/services of the business.
Ensure complete documentation and records as required by ISO 9001
The certification body will review documents such as: Quality Policy, quality objectives, quality manual (if applicable), procedures, work instructions, and record forms.
Records must provide evidence that the business is consistently implementing and controlling its processes.
Ensure staff competence and awareness
- During the audit, the certification body will often interview employees at different levels to evaluate their understanding of the ISO 9001 system, roles, responsibilities, and related processes.
- Therefore, businesses should conduct ISO 9001 awareness training and internal auditor training before the certification audit.
Conduct at least one internal audit and management review
- This is a mandatory requirement before certification. The CB will check internal audit reports and management review meeting minutes.
- Internal audits must clearly identify strengths, nonconformities, and corrective actions.
Implement corrective actions for nonconformities (if any)
If nonconformities are identified during trial operations or internal audits, the business must implement specific corrective actions, track them, and maintain proper records.
Effectively manage risks and opportunities
The certification body will assess how the business identifies and addresses risks and opportunities in its operations (a key requirement in ISO 9001:2015).
Maintain transparency during the audit
- Certification bodies highly value honesty and transparency during the audit process.
- Concealing information, falsifying records, or attempting to bypass requirements may result in certification rejection or invalidation of audit results.
Prepare thoroughly for the on-site audit
- Businesses should prepare work schedules, assign departmental representatives, organize documentation, and ensure work areas are orderly.
- The certification body will conduct on-site inspections of factories, offices, and end-to-end processes to compare actual practices with documented procedures.
Maintain the system after certification
- ISO 9001 is a continuous system, not a one-time achievement.
- After certification, the certification body will conduct periodic surveillance audits (1–2 times per year). Businesses must continuously maintain and improve their quality management system.
